About the Role

Reporting to the Manager, Finance and Research & Innovation Operations, and working under the general direction of the Vice-Principal, Research & Innovation (VPRI), the Executive Assistant provides highly confidential, executive-level administrative support to ensure the effective operation of the Office of the Vice-Principal, Research & Innovation (OVPRI).

This position requires exceptional judgment, discretion, organizational skill, and the ability to manage complex priorities in a fast-paced academic environment.


Key Responsibilities

As part of this executive administrative assistant role at UofT, responsibilities include:

  • Managing the Vice-Principal’s complex calendar, appointments, and scheduling conflicts
  • Handling the flow of sensitive and confidential information to and from senior leadership
  • Conducting background research and preparing briefing materials for meetings
  • Drafting, editing, and formatting correspondence, reports, briefing notes, and presentations
  • Coordinating travel, conferences, meetings, and special events
  • Serving as the primary point of contact for internal and external stakeholders
  • Liaising with academic departments, senior administrators, and external partners
  • Maintaining accurate records, meeting documentation, and office files
  • Identifying issues proactively and resolving them independently or in consultation with leadership
  • Providing logistical and administrative support to committees and initiatives as required

Required Qualifications

Education

  • University degree or an equivalent combination of education and experience

Experience

  • Minimum 5 years of experience supporting senior executives
  • Strong preference for experience in a post-secondary or academic environment
  • Demonstrated experience handling confidential and sensitive matters
  • Proven ability to manage complex calendars, competing priorities, and tight deadlines
  • Experience preparing briefing materials, reports, and executive correspondence
  • Basic accounting or financial administration experience

Skills & Competencies

  • Exceptional written and verbal communication skills
  • Advanced proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint
  • Experience using Zoom and Adobe Acrobat Pro
  • Strong organizational, time-management, and problem-solving skills
  • High level of professionalism, discretion, and attention to detail
  • Ability to adapt quickly in a high-pressure, fast-paced environment
